Configuring User360: Efficient User OnBoarding – Part 1

Salesforce user Management of profiles and permissions can indeed be a demanding task. Moreover, in the ever-evolving world of cloud-based CRM, optimizing user management is essential. In this blog post, we delve into a powerful tool—User360—that promises to streamline this process.

Firstly, let’s initiate with the setup of “Configurations” and create templates for streamlined processes. This initial step is crucial to laying the groundwork for efficient user management.

Complexity of User Management:  

While managing users in Salesforce may appear straightforward, in reality, it presents a myriad of challenges. These complexities range from dealing with multiple users of the same profile to ensuring a smooth transition when an employee departs, potentially leading to a drain on resources and increased risk. Consequently, understanding and addressing these challenges is paramount.

Efficient User Management with User360: 

Introducing User360, the revolutionary solution transforming how we manage Salesforce users. Administrators can break free from manual, repetitive tasks and embrace automation with User360. This transition signifies a shift towards efficiency and productivity.

The core of this solution lies in creating templates for the common processes administrators frequently encounter in user management. Let’s explore how User360 can significantly enhance efficiency and make your life as a Salesforce admin more efficient and hassle-free

Creating Multiple Users Made Easy: 

Consider this scenario: New users are joining in a few days, and you need a template that not only allows you to create multiple users with the same profile and permissions but also provides the option to add them to a public group or queue if needed. In short, we’ve automated the onboarding process by crafting a pre-defined template. Employing this streamlined approach ensures a more efficient onboarding experience.

Step-by-Step Guide:

  1. Navigate to Configurations: Access the “Configurations” tab to manage user actions, your starting point for configuring templates. 
  2. Create a Process Template: Within “Configurations,” select “Process Templates” and click “New” to initiate a template. Define the primary action as “Create User.”
  1. Define Template Details: Provide a distinctive name and specify details for the template, ensuring clarity and relevance. 
  2. Edit User Information: Proceed to edit essential user details, including role, license, and profiles. Pre-fill fields under “General Information.” 

Note: Enhance customization by adding user fields from your Org and pre-saving values within the template. 

  1. Set Locale Information: Define locale information to tailor the user experience based on location and language preferences.  
  2. Configure Additional Information: Under “Additional Information,” customize fields for more detailed user management processes 
  1. Assign Permissions: Select “Assign Permissions” as the next action. Specify execution time, users, and permission sets/groups.

NOTE: Another way to assign permissions – you can also choose to also “Copy from” a User and decide which “Items to Copy”.

  1. Add to Public Group/Queue: Continue by adding users to a public group or queue. Specify details like users, execution time, and the relevant group or queue.

  1. Validate Template Configuration: Finally, enable or disable the editable option for the “Select Users” field. Review and validate the template configuration to ensure accuracy and completeness. 
  2. Activate Template: Save your steps and activate your template, making it ready for practical use in user management.
