Salesforce Mass Transfer Records Simplified with User 360 templates

Use Case: Crafting Templates for Salesforce Mass Transfer Records

Consider a scenario where your organization frequently encounters employee departures, necessitating seamless record transfers to existing users. User360 excels in streamlining this process through templates, effortlessly utilized within process templates as needed.

Setting Up Templates:

  1. Access the Configurations Tab: To initiate this process, begin by navigating to the “Configurations” tab within User360.

  2. Create a Transfer Records Template: Opt for the “Transfer Records” feature and initiate the template creation by providing a name and an optional description.
  1. Add the First Object: On the template detail page, click the yellow plus sign to add your initial object.  For Example, let’s start with “Accounts.”
  1. Specify Transfer Details: Within the Detail section, define the “Transfer to” recipient, batch size, and the precise number of records for transfer.


    • Recipient Specification: Clearly specify the recipient—opt for a transfer to a Specific User, Queue, or Others (like a Module Admin). This field can be left blank and updated dynamically when templates are reused.
    • Use the Number of Records Field: Efficiently utilize the “Number of Records” field: If configured to 100, distinctly only the initial 100 records get transferred, irrespective of the user’s total ownership.
    • Utilize the Filtering Feature: Employ the filtering feature judiciously, filtering records based on specific criteria like the “type” field on the Account object.
  1. Handling Related Records: Manage related records adeptly. When transferring Account-associated records, such as Contacts and Cases, thoughtfully add actions and apply additional filters as necessary.
  1. Include Grandchild Records: Thoughtfully incorporate grandchild records, integrating them below the parent record by repeating the process.
  1. Transfer Remaining Account Records: Effectively transfer remaining records. For the remaining Account records, adroitly add supplementary steps, applying filters judiciously, and excluding types added in previous steps. 
  1. Repeat for Child Object Records: Diligently replicate the process for child Object records, applying the same methodology as needed.
  1. Transfer Remaining Contacts: Ensure a comprehensive transfer of remaining contacts. Include remaining contacts on the same template to meticulously avoid overlooking any owned by the user.
