Efficient Offboarding with User360 Processes – Continuation

Efficiently offboarding users in Salesforce demands precision and efficiency. Building upon our previous configuration guide, this blog focuses on implementing User360 offboarding templates to streamline processes effectively.

In the prior blog, we configured User360 offboarding templates to streamline offboarding, emphasizing template importance. These configured templates serve as a powerful tool, ensuring an error-free and streamlined offboarding process. 

Step-by-Step Guide: 

Follow these steps to implement User360 offboarding processes effectively:

  1. Navigating to the “Requests” Tab: Begin the offboarding journey by moving to the “Requests” tab within User360. 
  2. New Request: Initiate a new request by selecting the appropriate User360 offboarding template and specifying the execution date and time. 
  1. Updating User Details: Upon reaching the initial step, “Deactivate or Freeze User,” gain the ability to modify user details for accuracy in the offboarding process. 
  1. Remove from Permission Sets: Progress by revoking permission sets assigned to the user, enhancing precision in offboarding workflows. 

NOTE: If any editable fields were set during template creation, update or add details as needed and save the step. 

  1. Remove from Public Group/Queue: Continue by excluding the user from public groups or queues, as defined in the template, ensuring meticulous data transitions. .
  1. Submitting the request: Complete all required details in each step and “Submit” the request using User360 offboarding templates for multiple users.
  2. Progressing Through Subsequent Steps: Adhere to the template, navigating through each step as dictated by offboarding requirements. Systematically update information in each step, ensuring completeness and accuracy.

Note:  

  • If you encounter any errors or issues, utilize the “Related Logs” tab to access more detailed information.  
  • You can always ‘Recall’ your submitted request, make changes, and ‘Resubmit’ the request.  
  • Before the request starts executing, you can cancel it by selecting ‘Cancel Request.’ Once ‘Cancelled,’ you cannot edit the request. 
  1. Immediate Execution: Alternatively, for instant execution, select “Execute Now” to conclude the offboarding process. 

By mastering User360 offboarding processes, you enhance Salesforce efficiency while safeguarding data integrity and optimizing resource utilization.
